Almost every TechAge install in the last decade has started with the same sentence: “we're on Tally and it's holding us back.” The bottleneck is rarely Tally itself — it's a counter that's too slow, a stockbook nobody trusts, or a CA waiting on numbers that take a week to compile.
If that sounds familiar, here's what a weekend migration actually looks like. We've done this dance with over a hundred businesses across Kerala and the GCC. The pattern is consistent enough to write down.
Day 0 — Friday afternoon: take the snapshot
The first thing we do is freeze the source. Tally export of:
- Item master — with HSN, GST %, opening stock
- Customer & supplier master — with GSTIN, address, credit limit
- Outstanding ledgers — both receivable and payable as on date
- Last three months of sales and purchase vouchers, for sanity
One trick that saves four hours later: capture opening stock by godown, not just consolidated. If you have three locations and your Tally has them as a single inventory, write down the rough split before you export. TechAge runs multi-godown by default and we'll need that split anyway.
Day 1 — Saturday morning: load the masters
TechAge has an Excel-based importer for masters. Items first, then customers and suppliers. Two things that always trip people up here:
- Item codes. If you've been using Tally ‘Item Names’ instead of codes, this is the moment to pick an SKU code convention. We'll help. Don't over-engineer it —
BRAND-CATEGORY-SIZEis enough for most shops. - Tax mapping. GST rates and HSN codes from Tally don't always line up cleanly with TechAge's tax masters. We map them in a sheet first, then bulk-import. About 95% of items map straight; the other 5% need a human looking at them.
Day 1 — Saturday afternoon: opening balances
The least exciting part and the one we never skip. Load the trial balance as on cut-over date. Load opening stock per item per godown. Load outstanding from customers and suppliers, voucher-by-voucher, so you can age them correctly.
Then we run a check: total opening receivable in TechAge should match total opening receivable in Tally to the rupee. Same for payable. Same for trial balance. If they don't match on Saturday evening, we don't go live on Monday. We've never had to delay — but we'd rather slip a week than open Monday with a phantom ₹ 14,300 in receivables.
Day 2 — Sunday: training
Two sessions, each two hours. Morning is for cashiers and counter staff: bill speed, barcode workflow, GST flow, day-end cash close. Afternoon is for the owner and accountant: GST returns, ledgers, reports, multi-branch reconciliation. By Sunday evening everyone has billed at least 30 dummy invoices and printed at least one GST e-invoice.
Monday — go live
This is the part owners worry about. In practice it's the calmest day of the whole week. An engineer sits at your counter on Monday morning. The first 50 bills are typically slow because muscle memory is wrong. By bill 80, they're fluent.
You keep Tally on the side for the first two weeks, just to cross-check that everything reconciles. After that, the team turns it off and never goes back.
The four things that always take longer than people expect
- Cleaning the item master. Twenty years of duplicates, abandoned categories and typos. Plan for two days, not two hours.
- Bank reconciliation history. If you want last year's bank statements reconciled in the new system, budget a week. If you don't, opening balance is fine and we move on.
- Customer credit limits. If Tally never enforced them, your salespeople will discover them in week one. We always recommend a 30-day soft-launch where credit limits warn but don't block.
- The accountant's reports. Whatever monthly report your CA expects has a specific format. We rebuild it in TechAge in week one. It's never a one-click match on day zero.
What it actually costs in time
A single-branch shop with ~5000 SKUs: one weekend for the migration, plus the soft-launch period. Multi-branch (2-3 locations): two weekends. Manufacturing with BOM and job-work: three to four weekends, because the BOM build is its own project.
